Ocean Therapy Charters – Policy Information

We look forward to welcoming you aboard! Please review these policies before booking so you know what to expect and can prepare for your experience.

Guest Cancellations

All cancellation requests must be emailed to info@oceantherapycharters.com. Phone calls and voicemail messages do not constitute cancellation notice.

Cancellation deadlines are calculated from your scheduled departure or course start time, using Hawaiʻi Standard Time. The time your email is received determines the applicable refund.

Private Charters

  • At least seven days before departure: Full refund.

  • At least 48 hours but less than seven days before departure: 50% refund.

  • Less than 48 hours before departure: Non-refundable.

Group Excursions / Individual Seats

  • At least 48 hours before departure: Full refund.

  • Less than 48 hours before departure: Non-refundable.

No-Shows & Missed Departures

No-shows and missed boat departures are non-refundable. Guests remain responsible for the full amount of their reservation.

Please arrive by the check-in time provided in your booking confirmation.

Guest-Requested Rescheduling

A $50 rebooking fee per reservation applies to approved, guest-requested excursion date or time changes. Rescheduling is subject to availability.

Rescheduling requests received within the applicable cancellation window are not guaranteed and do not automatically waive cancellation charges.

The rebooking fee is waived when Ocean Therapy Charters initiates the change because of weather or operational needs.

Course rescheduling is governed by the separate course policies below.

Charter Changes & Operator Cancellations

Ocean Therapy Charters may change departure times, dive sites, itineraries, or other excursion details, or cancel an excursion, because of weather, ocean conditions, minimum passenger requirements, vessel availability, or other operational considerations.

Our captain and dive professionals make these decisions with guest and crew safety in mind. Specific dive sites and itineraries are not guaranteed.

If Ocean Therapy Charters cancels your entire excursion before departure, you may choose to reschedule, subject to availability, or receive a full refund of the canceled excursion.

Ocean Therapy Charters is not responsible for airfare, accommodations, transportation, or other travel expenses associated with an altered or canceled excursion.

Please provide an accurate email address and phone number when booking and monitor them for updates.

Weather-Related Reduction to a Two-Dive Excursion

If Ocean Therapy Charters reduces a scheduled two-dive excursion to one dive because of weather or ocean conditions, guests may request a $50 refund per affected diver for the second dive that was not provided.

This refund applies when the second dive is canceled by Ocean Therapy Charters. It does not apply when a guest chooses to skip a dive or cannot complete a dive for personal / medical reasons.

Scuba Courses – Cancellations & Rescheduling

  • At least 72 hours before the course begins: The reservation may be refunded or rescheduled, excluding assigned eLearning fees.

  • Less than 72 hours before the course begins: The reservation is non-refundable. Rescheduling may be offered, subject to instructor, pool, and boat availability, for a $75 administrative fee per student.

Once an eLearning code has been assigned, its cost is non-refundable. eLearning fees are based on the applicable training agency’s published manufacturer’s suggested retail price (MSRP) at the time of booking. Any eligible course refund will exclude this amount.

Students must complete any required eLearning and paperwork before the applicable training session. Please contact us promptly if you anticipate difficulty completing these requirements.

Student Performance & Additional Training

Certification requires successful completion of the applicable PADI or SSI course standards. Participation alone does not guarantee certification.

Students who need additional training or makeup sessions beyond their booked group course may arrange the following:

  • Additional confined-water session: $250 per student, scheduled at the next available session.

  • Additional open-water session: $255 per student, subject to boat and instructor availability.

  • Private makeup or skills session: $395 per student, includes the applicable boat or pool session.

Please contact us to determine the appropriate session and confirm availability before booking additional training.

Certification & Participation Requirements

Certified divers must provide proof of certification appropriate to the booked dive. Digital and physical certification cards are accepted.

All divers must remain within the limits of their certification or supervised training program, including applicable age and depth restrictions.

If we cannot verify that a guest meets the requirements for the booked dive, we may offer a suitable alternative, subject to availability. If the guest declines the available alternative, no refund will be issued.

Guests booked into Discover Scuba Diving or another introductory program participate under that program’s supervision and limits; prior certification is not required.

If you are unsure which experience is appropriate for your certification or experience level, please contact us before booking.

Medical Requirements

Participants must complete the medical questionnaire and other paperwork required for their booked program.

If your Diver Medical / Participant Questionnaire requires a physician’s evaluation, you must obtain written clearance before participating. Submit all three pages, with the participant sections completed and signed as applicable, together with the physician’s completed and signed evaluation approving participation.

Required medical documentation must be received before your scheduled dive excursion or training session. Please review the questionnaire early enough to arrange a physician’s evaluation if needed.

Guests who arrive without required medical clearance will not be permitted to dive and will not be eligible for a refund.

Marine Life & Reef Protection

Marine life sightings depend on ocean conditions, seasonal patterns, and natural animal behavior. Our crew will do their best to provide a memorable experience, but sightings of specific animals are not guaranteed.

Ocean Therapy Charters follows a “leave no trace” approach. Guests must not touch, chase, feed, harass, or otherwise disturb marine life, or stand on or damage coral.

Follow all crew instructions regarding wildlife viewing, positioning, and respectful distances.

Guests who attempt to touch or disturb marine life, damage the reef, or disregard crew instructions may be required to exit the water immediately and forfeit the remainder of their in-water activities without a refund.

Pricing

Prices are subject to change before booking. Your booking confirmation identifies the price and inclusions for your reservation.
